Create your farm
On first sign-in you either create a farm or join one with a 6-character farm code. As the creator you become the manager and get a farm code of your own.
Manager tutorial
Work through these sections in order the first time. Every step has a button that takes you straight to the right tab so you can try it as you read.
Ten minutes once, then you never do it again.
On first sign-in you either create a farm or join one with a 6-character farm code. As the creator you become the manager and get a farm code of your own.
Share your farm code. Staff sign up, enter the code and appear in the Staff tab. You can switch anyone between staff and manager there.
Group workers (Housekeeping, Workshop, Orchard) and set a responsible person for each group. Jobs assigned to a group land with that responsible person, who can hand work on.
A job is a list of steps plus the photos you want back.
Give it a title, a due time, and add steps in the order they must happen. Staff can only tick steps top to bottom, so the order is the method.
Instead of hoping for useful pictures, list them: "Fuel gauge", "Oil level", "Gate closed". The worker cannot finish the job until every named photo is captured.
Send it to one person or a crew group. It shows up on their Today screen immediately.
For anything that happens more than once.
Daily, specific weekdays (tick Mon/Wed/Fri and the day picker fades in), or pick multiple dates off a calendar. Add an end date or a number of occurrences so repeats stop on their own.
Seasonal maintenance and inspections become templates you deploy with one click, to a person or a whole crew.
When you change a repeating job, Farm Boss asks whether it applies to only this job or all future repeats. Past jobs are never rewritten.
Guests on the calendar generate the work they create.
Pick dates, zone and visitors. Overlapping bookings in the same zone are blocked before you can save.
Choose templates and when they run: day before arrival, on arrival, every day of the stay, or on departure. Set a housekeeping crew once in the booking settings.
Pressing save the first time shows every job that will be created, grouped by date. Change dates, crew or templates and the preview refreshes and asks for a fresh look. If the booking moves, the jobs move; if it cancels, they disappear.
Every machine has a class, an ID and a check history.
Pick the class (Vehicle → Quad bike, Generator, Tractor…) and enter the Reg / ID, which shows as the subtitle in the asset list. Log hour meters and maintenance against it.
Choose the machine type, then the actual asset. The checklist for that type loads with the last hour-meter reading pre-filled.
Each item is GO (green), GO BUT (yellow) or NO GO (red). The worst answer decides the result, so one red item means the machine does not go out. Checks are signed and stored per asset.
What actually happened, not what was promised.
Tap any metric card — done, overdue, in progress — to open the exact list behind that number.
Pending and completed jobs, each with a progress counter. Open a completed job to see the photos, voice notes and text captured against it.
If a worker can't do a job they report it, with the option to delay by a day when it isn't a daily repeat. The notification bell on the header row shows completions and reports as they land.
Every step tick, photo, clock-in and clock-out is logged. Filter by staff member or activity type, then export the filtered view as CSV. Weekly hours live in Timesheets.
What most managers settle into.
Check the Overview cards, deploy any templates, confirm today's bookings generated their jobs.
Watch the bell. Handle reports early so a delayed job still gets done this week.
Open Task list, scan the evidence on completed jobs, then export the audit trail if you need a record.
